Lorraine and Olivia started working as Scholarly Communication Support in the Open Access team at the Office of Scholarly Communication (OSC) in the University Library this summer. In this interview, they share their experience of starting a new role in the field of open access, from the perspective of their respective backgrounds in academia and publishing.
What does working in Scholarly Communication Support entail and what are your responsibilities in this role?
For the first few months joining the Open Access team we both started looking at “Fast Track deposits”, the simplest route of depositing author’s manuscripts into Apollo, the University of Cambridge institutional repository. This system allows the team to process items more quickly than the manual Apollo deposit. Since its launch in September 2018, it has considerably helped to reduce the workload as manuscript submission for archiving in Apollo continues to increase in view of the upcoming REF2021. On a daily basis, we also deal with queries from tickets created on the Open Access Helpdesk, contacting authors and publishers when further information is required and manually depositing manuscripts on Apollo while also updating their records on Symplectic Elements, the University’s research information management system.
Olivia and I are now being trained to respond to researchers’ funding queries and to process invoices for journals’ open access fees from the RCUK and COAF block grants. In order to do this we have had to learn more in depth about open access requirements and Research Councils’ funder requirements.
More recently, we have been working with Units of Assessment to support them with the open access component for REF (Research Excellence Framework) compliance, attending training sessions and reviewing Unit of Assessment outputs for eligibility. This has involved researching and interpreting the REF 2021 requirements for open access to disseminate effectively to academics and administrators. It has been illuminating to gain the perspective of different faculties, the way that they have to engage with REF, and their grapples with open access compliance.
What are your respective backgrounds and how did you decide to start working in OA?
Lorraine: Prior to working in open access, I completed a PhD in History of Art in Cambridge, looking at specific intersections between early modern artworks, medicine, and theories of the imagination. I also worked as a postdoctoral researcher at CRASSH (Centre for Research in the arts, social sciences and humanities) for one year.
I first became interested in OA and Scholarly Communication during my studies as a PhD representative for my peers in History of Art between 2017 and2018, the year that electronic deposits of PhD theses via Apollo became a requirement. There were anxieties from my peers around this new requirement, especially in relation to the open access feature: what would this mean for publishing their first monographs from their PhD thesis as Early Career Researchers? Would publishers still be interested in their work after it had been made OA? And, especially, what about the hundreds of copyrighted images present in their theses? It would have taken months to obtain permission to reproduce all of those images. During this time, I liaised with the OSC, the head of the AHRC Doctoral Training Partnership programme (as part of the RCUK, the AHRC also has its own open access requirements that apply to PhDs), communicated with faculty staff during meetings, and reported the advice I had gathered to my peers. I see this new position in the OSC Open Access team as an excellent opportunity to understand better what happens behind the scenes of an institutional repository and gain more knowledge about the broader picture of open access in academic research.
Olivia: I left academic publishing with a sense that the model was broken. Expensive paywalls restrict access to those seeking to access information and academics were becoming increasingly disenchanted with the publishing model. These issues particularly hit home following two separate instances. The first, a letter sent to the publisher by a prisoner seeking further information on a criminology text, one which was prohibitively expensive and inaccessible to such an individual. The second, a cuttingly written forward by an academic around monograph publishing and the ivory towers in which university elites and academic publishers co-exist.
Academic publishing very much feels like the other side of what I am doing with open access, making research as freely and widely available as possible.
How do you think your past experiences have helped you to have the necessary skills for working in OA?
Lorraine: As a Cambridge student, I acquired a good knowledge of Cambridge’s unique research and teaching landscape (Schools, Faculties, Departments, Colleges, Research centres, etc.). My academic background also meant that I had hands-on understanding about the process of research, publishing in a peer-reviewed journal, and even submitting my outputs through Symplectic Elements. These were really helpful starting my new role: understanding how researchers work is crucial in scholarly communication and definitely helps me to advise and communicate with researchers better. I am, for instance, particularly interested in the relationship between open access and third-party copyright (especially images from cultural heritage institutions, i.e. galleries, libraries, archives and museums) and the challenges it brings to researchers in the Arts and Humanities.
Olivia: I have found my previous work in publishing an asset working in open access because of my knowledge of the editorial and production process as well as publishing revenue models. I am familiar with the time scales for journal articles and books production as well as publishers’copyright requirements which I have found I am using on a regular basis. Working extensively with academics in a production role, I am aware of the competing pressures placed on them and their need for clear and accessible information on fulfilling publishing commitments or REF compliance.
Now that you have started your new roles, what are the tips you would give to someone interested in starting a career in OA?
Picking up from last year’s blogpost, and from our own experience: keeping up to date with developments, attention to detail, supporting academics and seeking support from the open access community are four key areas when starting in a career in OA.
Keeping up to date with developments and attention to detail
Publisher’s and funders’ open access policies change very quickly, as do the methods we adopt within the team to cope with the workflow and with the challenges brought by REF 2021. Anyone starting a career in OA needs to keep up to date with changes, be capable of doing in-depth research about those, and be comfortable admitting not knowing everything! The landscape is constantly changing and having an awareness of new proposals and initiatives makes the big picture much clearer.
Supporting academics
Give academics a break. It will take you a while to feel confident with policy and guidance and for you, it is your whole job. For the academics submitting their papers and contacting the repository, this is one small part of their role; you need to guide them through it as painlessly as possible.
Seek support
You cannot and do not know everything about open access. Luckily, there are plenty of wonderful expert colleagues who can help, so it is really important to know how to work within a team and keep building the necessary knowledge as a group.

At the heart of the University of Cambridge’s Open
Access Policy is the commitment “to disseminating its research and scholarship
as widely as possible to contribute to society”.
Behind this aim is the benefit to researchers worldwide, as the OA2020 vision has it, to “gain immediate, free and unrestricted access to all of the latest, peer-reviewed research”. It’s some irony indeed that the growth of the availability of research as open access does not automatically result, without further community investment, in a corresponding improvement in discoverability.
Key stakeholders met at the British Library to discuss the issue at the end of 2018 and produced an Open Access Discovery Roadmap , to identify areas of work in this space and encourage collaboration in the scholarly communications community.[1] A major theme included the dependence on reliable article licence metadata, but the main message was finding the open infrastructure/interoperability solutions for long-term sustainability “ensuring that the content remains accessible for future generations”.
New web pages on Open Access discovery
Recognizing where we are now, and responding to the present, (probably) partial awareness of the insufficiencies in the OA discovery landscape, Cambridge University Library has added pages to its e-resources website to highlight OA discovery tools and important websites indexing OA content. The motivations for highlighting the options for OA discovery on the new pages is described in this blog post. Our main aim is to bring to light search and discovery of OA as a live topic and prevent it “languishing in undiscoverable places rather than being in plain sight for everyone to find.”[2]
Recently, data from Unpaywall for July 2019 has been used to forecast for growth in availability of articles published as OA by 2025, predicting on the basis of current trends, but conservatively – without even taking full account of the impact of Plan S, for example. This forecast for 2025 predicts
44% of all journal articles will be available as OA
Unpaywall’s estimate for availability OA right now is 31%. A third (growing soon to a half) is a significant proportion for anyone’s money, and wanting to signal the shift we have used that statistic as our headline on the page summarizing the most well-known and commonly-used Open Access browser plugins.

We want the Cambridge researcher to know about these plugins and to be using them, and aim to give minimal but salient information for a selection of one, or several, to be made. Our recommendation is for the Lean Library extension “Library Access” but we have been in touch with Kopernio and QxMD and ensured that members of the University registering to use these plugins will also pick up the connection to our proxy server for seamless off campus access to subscription content where it exists, before the plugin offers an alternative OA version.
Once installed in the user’s browser, the plugin will use the DOI and/or a combination of article metadata elements to search the plugin’s database and multiple other data sources. A discreet, clickable pop-up icon will become live (change colour), on finding an OA article and will deliver the link or the PDF direct to the user’s desktop. Most plugins are compatible with most browsers, Lean’s Library Access adding compatibility with Safari last month.
Each plugin has a different history of development and certain features that distinguish it from others, and we’ve attempted to bring these out on the page. For example noting Unpaywall’s trustworthiness in the library space thanks to its exclusion of ResearchGate and Academia.edu; its harvesting and showing of licence metadata; and its reach with integrating search of its data via library discovery systems. Features we think are relevant for potential users looking for a quick overview of what’s out there are also mentioned, such as Kopernio’s Dropbox file storage benefits and integration with Web of Science and QxMD’s special applications for medical researchers and professionals.
In an adjacent page, Search Open Access, there is coverage of search engines focused on discovering OA content (Google Scholar; 1findr; Dimensions; CORE), a range of sites indexing OA content in different disciplines, both publisher- and community-based, and a selection of repositories and preprint servers, including OpenDOAR.

We hope the site design, based on the very cool Judge Business School Toolbox pages, gets across the basics about the OA plugins available and encourages their take-up. The plugins will definitely bring to the researcher OA alternative versions when subscription access puts the article behind a paywall and, regardless, will expose OA articles in search results that will otherwise be hard to find. The pages’ positioning top-left on the e-resources site is deliberately intended to grab attention, at least for reading left-to-right. It is interesting to see the approach other Universities have taken, using the LibGuide format for example at Queen’s University Belfast and at the University of Southampton.
Experiences with Lean Library’s Library Access plugin
Cambridge has had just over a year of experience implementing Lean Library’s Library Access plugin, and it’s been positive. The impetus for the institutional subscription to this product was as much to take action on the problem for the searcher of landing on publisher websites and struggling with Shibboleth federated sign-on. This problem is well documented (“spending hours of time to retrieve a minimal number of sources”) and most recently is being addressed by the RA21 project.[4] Equally though we wanted to promote OA content in the discovery process, and Lean Library’s latest development of its plugin to favour the delivery of the OA alternative before the default of the subscription version, is aligned with our values (considerations of versioning aside).
So we’re aiming to bring Lean to Cambridge researchers’ attention by recommending it as the plugin of choice for the period we’re in the transition to “immediate, free and unrestricted access” for all. It is only Lean that is providing the 24-hour updated and context-sensitive linking to our EZproxy server for off campus delivery of subscription content plus promoting OA alternative versions via the deployment of the Unpaywall database. The feedback from the Office of Scholarly Communication is favourable and the statistics support the positivity that we hear from our users (for the last year 66,731 for Google Scholar enhanced links; 49,556 article alternative views; a rough estimate against our EZproxy logs showing a probable 2/5 of off campus users are accessing the proxy via Lean).
One area of concern is the ownership of Lean by SAGE Publications, in contrast to the ownership say of Unpaywall as a project of the open-source ImpactStory, and what this means for users’ privacy. The concerns are shared by other libraries implementing Lean.[5] Our approach has been to make the extension’s privacy policy as prominent as possible on our page dedicated to promoting Lean, and to engage with Lean in depth over users’ concerns. We are satisfied with the answers to our questions from Lean and that our users’ data is adequately protected. Even in a rapidly changing arena for OA discovery tools the balance is not so fine when it comes to recommending installation of the Library Access plugin over a preference for the illegitimate and risk-prone SciHub.
Libraries’ discovery servicesare geared for subscription content
Allowing for influence of searchers’ discipline on choice of discovery service, it’s little surprise that the traditional library catalogue, even when upgraded to a web scale discovery service, prejudices inclusion of subscription over OA content. Of course it does, because this is the content the libraries pay for in the traditional subscription model and the discovery system is pretty much built around that. iDiscover is Cambridge’s discovery space for institutional subscriptions and print holdings of the University’s libraries and within iDiscover Open Access repository content has been enabled for search. Further, the pipe for the institutional repository content (Apollo) is established.
Nonetheless Cambridge will be looking to take advantage of the forthcoming link resolver service for Unpaywall. This is due for release in November 2019 and will surface a link to search Unpaywall from iDiscover when subscription content is unavailable. This link should kick in usually when the search in iDiscover is expanded beyond subscription content, and a form of which has been enabled already by at least one university by including the oadoi.org lookup in the Alma configuration.
The righting moment in the angle of list is that point a ship must find to keep it from capsizing, and Library discovery system providers’ integration with OA feels a bit like that – the OA indication was included in the May 2018 iDiscover release and suppliers have been working with CORE for inclusion of CORE content since 2017. That righting moment may be just over the horizon as integration with Unpaywall arrives, and the “competition” element dissipates, as the consultancy JISC used to review the OA discovery tools commented: “As the OA discovery landscape is crowded, OA discovery products compete for space and efficacy against established public infrastructure, library discovery services and commercial services”.[6]
A diffuse but developing landscape
Easy-to-install and effective to use, the OA discovery tools we are promoting are still widely thought of as at best providing a patch, a sticking-plaster, to the problem. A plethora of plugins is not necessarily what the researcher wants, or is attracted by, however necessary the plugin may be to saving time and exposing content in discovery. Possibly the really telling use case has yet to be tried wherein the plugin comes into its own in a big deal cancellation scenario.
Usage statistics for the Lean Library Access plugin are probably a reflection of the fact that the provision of most article content that is required by the University is available via IP access as subscription, and the need for the plugin is almost entirely limited to the off campus user. The Lean plugin’s relatively modest totals are though consistent with reports of plugin adoption by institutions that have cancelled big deals. The poll of the Bibsam Consortium members revealed 75% of researchers did not have any plug-in installed; the percentage for the University of Vienna in particular was 71%; the KTH Royal Institute of Technology authors “rarely used” a plugin.[7]
Another conjecture is that there is an antipathy to any plugin that could be collecting browsing history data and however “dumb” and programmatically-erased, the concern over privacy is such that the universal adoption libraries may hope for is unachievable. The likeliest explanation is possibly around the tipping-point from subscription to OA, and despite the Apollo repository’s usage being one of the highest in the country (1.1 million article downloads from July 2018 to July 2019), Cambridge’s reading of Gold OA is c. 13% of total subscription content, including journal archives. A comparison with the proportions of percentage views by OA types in Unpaywall’s recently published data (cited above) suggests this is on the low side in terms of worldwide trends, but it must be emphasized this is a subset of OA reading and excludes green, hybrid, and bronze. Just consider for instance the 1.5 billion downloads from arXiv globally to date.[8] Similarly, the stats from Unpaywall are overwhelmingly persuasive of the success of the plugin, as of February 2019 it delivered a million papers a day, 10 papers a second.

The inspirational statistician and “data artist” Edward Tufte wrote:
We thrive in information-thick worlds because of our marvellous and everyday capacities to select, edit, single out, structure, highlight, group, pair, merge, harmonize, synthesize, focus, organize, condense, reduce, boil down, choose, categorise, catalog, classify, list, abstract, scan, look into, idealize, isolate, discriminate, distinguish, screen, pigeonhole, pick over, sort, integrate, blend, inspect, filter, lump, skip, smooth, chunk, average, approximate, cluster, aggregate, outline, summarize, itemize, review, dip into, flip through, browse, glance into, leaf through, skim, refine, enumerate, glean, synopsize, winnow the wheat from the chaff, and separate the sheep from the goats.[9]
There’s thriving and there’s too much effort already. Any self-respecting OA plugin user will want to winnow, and make their own decisions on the plugin(s). In a less than 100% OA world, that combination of subscription and OA connection separated from physical location (on/off campus) is a critical advantage of the Lean Library offering, combined as it is with the Unpaywall database. Libraries will find much to critique in the institutional dashboards or analytics tools now built on top of some plugins (e.g. distinction of the physical location when accessing the alternative access version in the Kopernio usage for instance).
From the OA plugin user’s perspective, the emerging cutting edge is currently with the CORE Discovery plugin, as reported at the Open Repositories 2019 conference, in the “first large scale quantitative comparison” of Unpaywall, OA Button, CORE OA Discovery and Kopernio. This report reveals important truths for OA plugin critical adopters, for instance showing less than expected overlap in comparison of the plugins’ returned results from the test sample of DOIs, and the assertion “we can improve hit rate by combining the outputs from multiple discovery tools”.[10]
It’s become popular for our present day Johnson to quote his namesake, so in that vogue we should expect the take-up of Lean Library and CORE Discovery to bring closer that “resistless Day” when researchers the world over get “immediate, free and unrestricted access to all of the latest, peer-reviewed research” and the “misty Doubt” over the OA discovery landscape will be lifted.[11]

As we wind down towards the last days of 2018, thoughts go to gifts for family and friends. Here, as our last minute gift idea to you, is a book that should be under the tree of every scholarly communication aficionado.
The following book review appeared in Research Fortnight on 15th September 2018 with the title ‘New readers start here‘. It was edited by John Whitfield and is reproduced here with permission.
Book Review
It is odd to be reviewing a book that stresses the importance of “positive reviews in…prestigious publications” to potential sales and publishers’ reputations. Nonetheless, it is safe to say that Scholarly Communication: What everyone needs to know, by Rick Anderson, is excellent.
Scholarly communication is a complex and fast-growing area. Even those working in it find keeping up to date a challenge. The challenge is much greater for those working more widely in research and academia, let alone the general public. The market is ripe for an understandable, generalist overview that explains what scholarly communication is and why anyone should care.
To address the latter point, Anderson notes in his introduction that “there are issues related to scholarly communication about which it would make sense for all of us to know something”. His argument is that decisions made worldwide on health, environment, economics and so on are all underpinned by academic research, reported through the scholarly communication system.
Anderson does a masterful job of distilling the stakeholders, issues and facts into an understandable whole. The discussions about open access and controversies and problems are handled sensitively; a challenge given the wide range of perspectives in this area.
The chapter on copyright is particularly helpful. This is a fundamental aspect of almost all scholarly communication and an area where many people are unsure. In clear language, Anderson explains fair use and fair dealing, licensing, the Creative Commons licences used in open-access publication, orphan works and patents. To do so without overwhelming or boring the reader is something of an achievement.
Anderson’s writing is eloquent and his explanations are clear and precise. Other highlights include discussions of how researchers use e-books, the projects from Google and the HathiTrust repository to digitise books, and an excellent description of how digitisation is allowing libraries to share their special and rare collections with a wider audience.
The book is structured as a series of questions with short answers of one to five pages. This format invites readers to dip in and out of the sections they are interested in. Mostly this approach is successful, although it does result in some repetition.
Anderson is also a victim, in a small way, of the very dynamism that he aims to capture. The volatility of scholarly communication means that most of the specialist discussion tends to occur in outlets that publish quickly, such as mega journals and blogs. The timescale for a regular journal article, which can take a couple of years to get from submission to publication, is too long and risks the contents losing relevance. Books have similarly long lead times; coupled with the dynamic nature of scholarly communication, this makes some out-of-dateness inevitable.
For example, in his chapter on metrics Anderson notes that “the universe of altmetrics is a highly dynamic one, and products and services…seem to be born and die nearly every month”. This is evidenced within that very chapter: among the companies offering research metrics, it mentions Thomson Reuters (whose intellectual property and science business was sold to private equity and changed its name to Clarivate Analytics in October 2016), Delicious (bought by Pinboard in June 2017) and Plum Analytics, which has kept its name but was bought by Elsevier in February 2017.
As the associate dean for collections and scholarly communication at the University of Utah, Anderson makes for a well-qualified author, although the text does reflect his North American perspective. Generally this is not a problem, although a statement such as “There is a professional organisation for university press publishing: the American Association of University Presses” implies, inaccurately, that the rest of the world lacks such organisations.
This is a vast topic, and clearly decisions needed to be made over what to include and omit. Some omissions are easier to justify than others. I would have liked a deeper exploration of the commercial academic publishing market, as this drives much of the activity in the open-access space. The lack of this might reflect the level of disagreement over even basic definitions in scholarly communication, something Anderson acknowledges.
But that’s a minor quibble. Given the need for a book such as this, it would not be surprising if it became compulsory reading for training courses in scholarly communication.

We have a fantastic community in the Scholarly Communication space. And this is one of the clear themes that emerged from a recent exchange on the UKCORR discussion list. The grandly named UK Council of Research Repositories is a self-organised, volunteer, independent body for repository managers, administrators and staff in the UK.
The main activity for UKCORR is a closed email list which has 570 members and is very active. Questions and discussions range from queries about how to interpret specific points of OA policy through to technical advice about repositories.
Recently, the OSC’s Arthur Smith (the current Secretary of UKCORR), posed the first ‘monthly discussion’ point, asking the group two questions:
What do you wish you were told before you started your job in repository management/scholarly communication?
What are your top three tips for someone just starting?
What followed was a flurry of emails full of great advice. Too good not to share – hence this blog. In summary:

1. This is a varied and complex area
It’s complicated! Terminology, changing guidance and policies, publisher’s rules… everything is complicated and it takes time to learn it all.
You will experience A LOT of frustration (with publishers, financial constraints, lack of policy alignment, issues with interoperability, ) but there will be moments when it all comes together and you realise you have made a difference to someone and it is all worthwhile.
You’re not mad for wondering why open access policies/dates etc. are not easily found…
How varied and exciting the role is, with requirements (and opportunities) to develop expertise in diverse areas: communication/advocacy, copyright, systems, researcher training, project and team management, budget management…to name but a few.
To remember that this is an industry we have not traditionally been involved in, that it is a constantly changing landscape, that the community is incredibly supportive and endlessly useful, that Sherpa Romeo is still vital, that publishers really vary in their responses to open access – from behemoths to start-ups, and that everyone should back the collaborative effort behind the Scholarly Communications Licence!
2. Open access is bigger than mandates
Remember the bigger picture – open access/open research should not be about compliance; don’t allow yourself to become jaded.
Remember that it is not all just about compliance (the REF). Yes, it is concentrating researchers minds wonderfully at the moment but Open Access/scholarly communications should be about selling the benefits– the carrot not the stick.
Efface mandates & policy when possible – while the REF (along with funder and institutional) mandates are powerful driving forces, some people are not motivated by them, and OA and Open Science are bigger and better than any mandates.
It’s not all about compliance…
It’s not all about the REF.
3. Things change fast in scholarly communication
It’s not finished yet – we’re still building it and nothing is set in stone, so what do you think?
My advice is be adaptable – change is good. This field is rapidly evolving which demands that you remain flexible. What was true yesterday may not be applicable tomorrow.
It is a fluid constantly-changing field to be involved in and it will continue to evolve, so enthusiasm (or nosiness) and an enquiring mind helps
Identify ways to keep up-to-date as it is a rapidly evolving area and it’s impossible to keep on top of everything
Keep the big picture alive alongside the ‘how-to’, operational aspects. Reflect this in your communications.
Don’t be afraid to say you don’t know something – a lot of things in this area are based on interpretation of policies etc
Stay passionate (even when the details are dragging you down).
There is a lot more to it than meets the eye – and that is what is appealing – variety and challenge.
Don’t be afraid to try and change things.
4. Don’t panic!
Open Access Emergencies are very rare. If you’re sent a takedown notice, hide the record immediately and then think about what to do (I’ve had two in something like 6 years, they’re pretty rare). Other than that, very few things are actually urgent and you can afford to spend a bit of time thinking about them.
You’re not going to get everything right – mistakes can be made and for the most part easily rectified (in my position at least!)
Don’t worry about asking questions– Green? Gold? Need some context? Get some context!
5. Work with your academic colleagues
Recognise that some of your best allies will be researchers, although they will often be silent partners working away in the background. It’s easy to moan that they always get it wrong, but no amount of lecturing about policies will ever be as effective as a casual conversation between two researchers over lunch. Catalysing those discussions is what we should be aiming for.
Your academics do not care about the vagaries of policy and probably weren’t listening when you told them. Keep the message very simple. If a specific funder is more complicated you may best off targeting those authors directly with an additional message that explains the difference.
Take time to understand the daily and yearly calendar of academic staff to better understand their pressures.
Engage academics in conversations – for me that is the most interesting and rewarding part of the role.
Be confident, you know what you’re doing. And if you don’t? Find out- you’ve checked the embargo/copyright regardless of what the academic might want you to do!
Customer focus is important – support rather than appear to police (even though we might be doing a bit of policing).
You have to remember that even if you are relatively new, that you will probably know more than the academics/researchers themselves, so don’t panic when you don’t know/understand something they ask/request. They are usually fine with the standard “I’ll get back to you….” to give you time to find out. Plus, a lot of them are happy that you are dealing with it so they don’t have to.
6. The OA community is strong and supportive
It takes time to build knowledge, so build your networks.
Make use of your colleagues’ expertise – it’s ok not to know everything about everything and you’ll become a stronger team.
Engage on Twitter – it’s where I find a lot of useful resources, updates and share ideas.
Join UKCORR (but I would say that).
You are part of a community that works together – UKCORR is a great platform for discussion, keeping up with news (eg the release of multiple REF2021 related guidance papers within a few days of each other) and finding out the answers to questions.
Network as much as you can; UKCORR is a fantastic community.
Use the support networks that are available –Colleagues/Local Groups/UKCoRR/ARMA – people are genuinely helpful and supportive and repetition of questions does not offend.
The validation queue will vary rarely reach zero. Your academics are publishing all the time. Don’t try to get the queue to zero, for that way madness lies. Instead set a time period (e.g. 2 weeks) and aim to have nothing take longer than that to validate. Don’t worry if this slips a bit during the busy times.
Don’t be intimidated by copyright – get expert advice when you need it, but most re-use & sharing rights are written down somewhere (in the agreement to publish, or in a publisher’s pages).
Don’t forget the Arts & Humanities – much of the lingo (& policy) in OA, e.g. “pre-print”, PubMed/EPMC deposits, etc. comes from the STEM side of the Two Cultures, and the Humanities tradition can be slightly different (for one thing, more publishing in books).
I’m also happy to admit that I was rather overwhelmed by acronyms and abbreviations. It took me an age to figure out that CRIS was Current Research Information System. Don’t be afraid to stop someone if they’re using a term that you don’t know.
Learn a little bit about code and the underpinnings of your platform so you can communicate more effectively with developers.
If you have the opportunity to learn how the technical infrastructure works, eg coding, APIs, go for it. This is on my wish list – so often I can’t tell if a development/improvement hasn’t happened because it’s technically not possible or if it’s for other reasons.

The session was aimed at families, to show them that there is a world of research available to the general public stored on Apollo, the University’s repository – and it’s all cool stuff.
It was also aimed at researchers, to get them thinking about new ways to make their research available to a general public – including uploading their research on to the Apollo repository.
At the end of each story the audience were challenged to interpret the stories and research in their own way.
Here’s what happened during the morning.
Labour Pains: Scenes of Birth and Becoming in Old Norse Legendary Literature
The research
Kate Olley’s article looks at the drama of childbirth as depicted in Old Norse legendary literature. This article made a great beginning to the session, because it looks into the power of story to give an insight into the past. Childbirth stories are fascinating and informative because they are such important moments – ‘moments of crisis’ not just for an individual but for a whole society. They show so much about a culture, from the details of everyday life, to a picture of a society’s values and structure. Also, unlike stories of great battles and adventures, they put women and everyday life at the centre of the story.
The story
I retold one of the stories from Kate’s article, ‘Hrolf and the elvish woman’ from the saga of Hrolf the Walker. An elvish woman summons Hrolf, a king who has fallen on hard times, to help her daughter who is under a curse. She has been in labour for 19 days, but cannot give birth unless she is touched by human hands.
Kate pointed out some things the story shows us: the extreme danger of childbirth in those times; and the way a birth changes everybody’s role. The woman becomes a mother, but the fortunes of Hrolf the midwife are also changed for ever.
The challenge
We talked about how people still tell childbirth stories, and they often have the same mythic resonances as old Icelandic saga. Is there a story you tell your children about when they were a baby? (or a story that your parents tell you?)

The research
‘Internet dragon’
Noa Zilberman explains that almost every aspect of our lives today is being digitally monitored: from our social networks activity, through online shopping habits to financial records. Can new technology enable us to choose who holds this data? Her research, based on highly technical computer engineering, addresses a social issue that Noa feels passionate about. I chose a story that was a metaphor for her research, with a hero taking on the might of a huge and greedy dragon.
The story
‘Dragon’
I based the story on the epic account of Beowulf fighting the dragon, which reflected Noa’s passion and how important she felt the issues raised by her research are to society in general. But, as is the way with story, more links emerged during the telling. The flickering flames of the dragon’s cave, reflected the heat emitted by internet server farms. The ease with which a thief can steal gold from the hoard, and the potential harm this can do, proved highly topical. When the hero asks the blacksmith to make a shield of metal to protect him from the dragon’s breath, Noa produced her secret weapon: a programmable board, not more than six inches long, which enables data to be moved more efficiently by individual computers.
The challenge
It can be hard to visualise what ‘the internet’ really is. What might an ‘internet dragon’ look like? Can you draw one?
The provenance, date and significance of a Cook-voyage Polynesian sculpture
The research
Trisha Bierspaper sheds light on the shifting sands of anthropological investigation. It has a particular Cambridge link: she uncovers the secrets of a wooden carving brought back from Captain Cook’s voyage to the Pacific in the 18th Century. The mysterious carving – of two figures and a dog – is now the logo of the Museum of Archaeology and Anthropology.
The story
Two men and pig
As I searched for a Polynesian story about two men and a dog, I discovered many of the same factors that Trisha highlights. Stories travel across the Pacific Ocean just as commerce, people, and artworks do, making it hard to pinpoint the source of the story.
The story I chose, about the deity/hero Maui, turning his annoying brother-in-law, Irawaru, into the first dog, fits only partially – just like the many theories about the carving. Stories about Maui are known all over Polynesia: but the trickster Maui from New Zealand, where this story comes from, is different from the godlike Maui of Tahiti, the carving’s likely provenance. Like the carving, the stories of Maui have travelled to the Western world, in films like Moanna, as well as to Cambridge. Stories, which can’t be carbon-dated like the carving, shift and change just like the dog Irawaru.
The challenge
Not knowing the true story can set our imaginations free! I asked the audience to draw or write their own story about two men and a dog.
Treated Incidence of Psychotic Disorders in the Multinational EU-GEI Study
The research
Hannah Jongsma’s research looks at the risk of developing a psychotic disorder, which for a long time was thought to be due to genetics. She finds that it is influenced by many factors – both genetic and environmental – for example the risk is higher in young men and ethnic minorities.
The story
I paired the story with a sinister little tale from Grimm, Bearskin, about an outsider who is rejected by society because of his wild appearance – he wears the unwashed skin of a ferocious bear and lives like a wild man. It touched the issues of Hannah’s research at many points. The hero is a rootless and penniless young man far from home – a situation identified as high-risk in Hannah’s study. His encounter with a wild bear with whom he swaps coats is the stuff of hallucination. Like psychosis, in Hannah’s view, the problem is partly one of the way society views the outsider. And, as in Hannah’s study, being accepted by a family and given emotional support is a protection against psychosis. The remarkable thing about this this wonder-tale, so far removed from reality, was how it opened up a wide-ranging conversation about the research. Its far-fetched images helped us explore the issues of real-life research. Hannah was surprised that her research could be re-envisioned and presented in such a different way.
The challenge
Using the ideas from Hannah’s paper, suggest an alternative ending to the story.
Determining the Molecular Pathology of Inherited Retinal Disease
The research
‘DNA helix’
Crina Samarghitean shows how bioinformatics tools help researchers find new genes, and doctors find diagnosis in difficult disorders. Her article looks at better treatment and quality of life for patients with primary immunodeficiencies, and focuses on inherited retinal disease which is a common cause of visual impairment.
The story
The story of the telescope, the carpet and the lemon turned out to be a celebration of the possibilities of medical research with bioinformatics. Three brothers search for the perfect gift to win the heart of the princess, and find that these three magical objects allow them to save her life. This piece of research was the first one I tried to find a story for, and it seemed to be the hardest to translate into non-specialist language, until Crina said ‘I see the research as a quest for treasure: someone who has looked everywhere for a cure for their illness comes to this data-bank, and it’s like a treasure chest with the answer to their problem.’
The challenge
Crina is already committed to the idea that the arts can be used to interpret science. She has made artworks inspired by the gene sequences she has been working on. The challenge was to make pictures inspired by Crina’s paintings and models.
In the blog post “It’s hard getting a date (of publication)”, Maria Angelaki discussed how a seemingly straightforward task may turn into a complicated and time-consuming affair for our Open Access Team. As it turns out, it isn’t the only one. The process of identifying the version of a manuscript (whether it is the submitted, accepted or published version) can also require observation and deduction skills on par with Sherlock Holmes’.
Unfortunately, it is something we need to do all the time. We need to make sure that the manuscript we’re processing isn’t the submitted version, as only published or accepted versions are deposited in Apollo. And we need to differentiate between published and accepted manuscripts, as many publishers – including the biggest players Elsevier, Taylor & Francis, Springer Nature and Wiley – only allow self-archiving of accepted manuscripts in institutional repositories, unless the published version has been made Open Access with a Creative Commons licence.
So it’s kind of important to get that right…
Explaining manuscript versions
Manuscripts (of journal articles, conference papers, book chapters, etc.) come in various shapes and sizes throughout the publication lifecycle. At the onset a manuscript is prepared and submitted for publication in a journal. It then normally goes through one or more rounds of peer-review leading to more or less substantial revisions of the original text, until the editor is satisfied with the revised manuscript and formally accepts it for publication. Following this, the accepted manuscript goes through proofreading, formatting, typesetting and copy-editing by the publisher. The final published version (also called the version of record) is the outcome of this. The whole process is illustrated below.
Identifying published versions
So the published version of a manuscript is the version… that is published? Yes and no, as sometimes manuscripts are published online in their accepted version. What we usually mean by published version is the final version of the manuscript which includes the publisher’s copy-editing, typesetting and copyright statement. It also typically shows citation details such as the DOI, volume and page numbers, and downloadable files will almost invariably be in a PDF format. Below are two snapshots of published articles, with citation details and copyright information zoomed in. On the left is an article from the journal Applied Linguistics published by Oxford University Press and on the right an article from the journal Cell Discovery published by Springer Nature (click to enlarge any of the images).
Published versions are usually obvious to the eye and the easiest to recognise. In a way the published version of a manuscript is a bit like love: you may mistake other things for it but when you find it you just know. In order to decide if we can deposit it in our institutional repository, we need to find out whether the final version was made Open Access with a Creative Commons (CC) licence (or in rarer cases with the publisher’s own licence). This isn’t always straightforward, as we will now see.
Published Open Access with a CC licence?
When an article has been published Open Access with a CC licence, a statement usually appears at the bottom of the article on the journal website. However as we want to deposit a PDF file in the repository, we are concerned with the Open Access statement that is within the PDF document itself. Quite a few articles are said to be Open Access/CC BY on their HTML version but not on the PDF. This is problematic as it means we can’t always assume that we can go ahead with the deposit from the webpage – we need to systematically search the PDF for the Open Access statement. We also need to make sure that the CC licence is clearly mentioned, as it’s sometimes omitted even though it was chosen at the time of paying Open Access charges.
The Open Access statement will appear at various places on the file depending on the publisher and journal, though usually either at the very end of the article or in the footer of the first page as in the following examples from Elsevier (left) and Springer Nature (right).
A common practice among the Open Access team is to search the file for various terms including “creative”, “cc”, “open access”, “license”, “common” and quite often a combination of these. But even this isn’t a foolproof method as the search may retrieve no result despite the search terms appearing within the document. The most common publishers tend to put Open Access statements in consistent places, but others might put them in unusual places such as in a footnote in the middle of a paper. That means we may have to scroll through a whole 30- or 40-page document to find them – quite a time-consuming process.
Identifying accepted versions
The accepted manuscript is the version that has gone through peer-review. The content should be the same as the final published version, but it shouldn’t include any copy-editing, typesetting or copyright marking from the publisher. The file can be either a PDF or a Word document. The most easily recognisable accepted versions are files that are essentially just plain text, without any layout features, as shown below. The majority of accepted manuscripts look like this.
As we can see the accepted manuscript is formatted like the published version, but doesn’t show the journal and publisher logo, the page numbers, issue/volume numbers, DOI or the copyright statement.
So when trying to establish whether a given file is the published or accepted version, looking out for the above is a fairly foolproof method.
Identifying submitted versions
This is where things get rather tricky. Because the difference between an accepted and submitted manuscript lies in the actual content of the paper, it is often impossible to tell them apart based on visual clues. There are usually two ways to find out:
Getting confirmation from the author
Going through a process of finding and comparing the submission date and acceptance date of the paper (if available), mostly relevant in the case of arXiv files
Getting confirmation from the author of the manuscript is obviously the preferable and time-saving option. Unfortunately many researchers mislabel their files when uploading them to the system, describing their accepted/published version file as submitted (the fact that they do so when submitting the paper to us may partly explain this). So rather than relying on file descriptions, having an actual statement from the author that the file is the submitted version is better. Although in an ideal world this would never happen as everyone would know that only accepted and published versions should be sent to us.
A common incarnation of submitted manuscripts we receive is arXiv files. These are files that have been deposited in arXiv, an online repository of pre-prints that is widely used by scientists, especially mathematicians and physicists. An example is shown below.
Clicking on the arXiv reference on the left-hand side of the document (circled) leads to the arXiv record page as shown below.
The ‘comments’ and ‘submission history’ sections may give clues as to whether the file is the submitted or accepted manuscript. In the above example the comments indicate that the manuscript was accepted for publication by the MNRAS journal (Monthly Notices of the Royal Astronomical Society). So this arXiv file is probably the accepted manuscript.
The submission history lists the date(s) on which the file (and possible subsequent versions of it) was/were deposited in arXiv. By comparing these dates with the formal acceptance date of the manuscript which can be found on the journal website (if published), we can infer whether the arXiv file is the submitted or accepted version. If the manuscript hasn’t been published and there is no way of comparing dates, in the absence of any other information, we assume that the arXiv file is the submitted version.
Conclusion
Distinguishing between different manuscript versions is by no means straightforward. The fact that even our experienced Open Access Team may still encounter cases where they are unsure which version they are looking at shows how confusing it can be. The process of comparing dates can be time-consuming itself, as not all publishers show acceptance dates for papers (ring a bell?).
Depositing a published (not OA) version instead of an accepted manuscript may infringe publisher copyright. Depositing a submitted version instead of an accepted manuscript may mean that research that hasn’t been vetted and scrutinised becomes publicly available through our repository and possibly be mistaken as peer-reviewed. When processing a manuscript we need to be sure about what version we are dealing with, and ideally we shouldn’t need to go out of our way to find out.

Well now there is a plan. The second meeting of the Scholarly Communication Professional Development Group was held on 9 October in the Jisc offices in London. This followed on from the first meeting in June about which there is a blog. The attendance list is again at the end of this blog.
The group has agreed we need to look at four main areas:
Addressing the need for inclusion of scholarly communication in academic library degree courses
Mapping scholarly communication competencies against training provision options
Creating a self assessment tool to help individuals decide if scholarly communication is for them
Costing out ‘on the job training’ as an option
What are the competencies in scholarly communication?
The group discussed the types of people in scholarly communication, noting that scholarly communication is not a traditional research support role either within research administration or in libraries. Working in scholarly communication requires the ability to present ideas and policies that are not always accepted or embraced by the research community.
The group agreed it would be helpful to identify what a successful scholarly communication person looks like – identifying the nature of the role, the types of skill sets and what the successful attributes are. The group has identified several examples of sets of competencies in the broad area of ‘scholarly communication’:
The group agreed it would be useful to review the NASIG Competencies and see if they map to the UK situation and to ask NASIG about how they are rolling it out across the US.
The end game that we are trying to get to is a suite of training products at various levels that as a community is going to make a difference to the roles we are recruiting. We agreed it would be useful to explore how these frameworks relate to the various existing professional frameworks, such as CILIP, ARMA and Vitae.
The approach is asking people: ‘Do you have a skills gap?’ rather than: ‘Do you (or your staff) need training?’. It would be helpful then, to develop a self assessment tool to allow people to judge their own competencies against the NASIG or COAR set (or an adaptation of these). The plan is to map the competencies against training provision options.
Audiences
We have two audiences in terms of professional training in scholarly communication:
New people coming into the profession – the initial training that occurs in library schools.
Those people already in a research support environment who are taking on scholarly communication roles.
The group also discussed scope. It would be helpful to consider how many people across the UK are affected by the need for support and training.
Another issue is qualifications over skills – there are people who are working in administrative roles who have expanded their skills but don’t necessarily have a qualification. Some libraries are looking at weighting past experience higher over qualifications.
There needs to be a sense of equity if we were to introduce new requirements. While large research intensive institutions can afford professional development, in some places there is one person who has to do the scholarly communication functions as only part of their job – they are isolated and they don’t have funds for training. An option could be that if a training provision is to be ‘compliant’ with this group then it must allow some kind of free online training.
Initial training in library schools
As was discussed the previous time the group met, there is a problem in that library schools do not seem to be preparing graduates adequately for work in scholarly communication. Even the small number of graduates who have had some teaching in this area are not necessarily ready to hit the ground running and still need further development. The group agreed the sector needs to define how we skill library graduates for this detailed and complex area.
One idea that arose in the discussion was the suggestion we engage with library schools at their own conferences, perhaps asking to have a debate to ask them what they think they are doing to meet this need.
The next conference of the library schools Association of Library and Information Science Educators is 6-9 February 2018 in Denver. Closer to home, iConference 2018 will be 25-28 March and will be jointly hosted by the UK’s University of Sheffield’s Information School and the iSchool at Northumbria. However, when we considered the conference options it became clear that this would not necessarily work, the focus of these conferences is academic focus, not practitioner or case studies. This might point to the source of some of the challenges we see in this space.
One of the questions was: what is really different now to the way it was 10-20 years ago? We need to survey people who are one or two years out from their qualifications.
Suggestions to address this issue included:
Identify which library schools are running a strand on academic librarianship and what their curriculum is
We work with those library schools which are trying to address this area, such asSheffield, Strathclyde and UCL to try and identify examples of good practice of producing graduates who have the competencies we need
Integrate their students into ‘real life’, taking students in for a piece of work so they have experience
Professional Development option 1 – Institutional-based training
In the environment where there is little in the way of training options, ‘on the job’ training becomes the default. But is there a perception that on the job training comes without cost While the amount of training that happens in this environment is seen as cost neutral, it could be that sending someone on a paid for course could be more effective.
How much does it cost for us to get someone fully skilled using on the job training? There are time costs of both the new recruit and the loss of work time for the staff member doing the training. There is also the cost of the large amount of time spent recruiting staff because we cannot get people who are anywhere near up to speed.
One action is to gain an understanding of how much it does actually cost to train a staff member up.
Professional Development option 2 – Mentoring
There is an issue in scholarly communication with new people coming through continuously who need to be brought up to speed. One way of addressing this issue could be by linking people together. UKCORR are interested in creating some kind of mentoring system. ARMA also has a mentoring network which they are looking to relaunch shortly.
The group discussed whether mentoring was something that can be brokered by an external group, creating an arrangement where if someone is new they can go and spend some time with someone else who is doing the same job. However, to do this we would need a better way of connecting with people.
This idea ties into the work on institutional based training and the cost associated with it. We are aware there is a lot of cost in sharing and receiving info done by goodwill at present.
Professional Development option 3 – Community peer support events
Another way of getting people together is community and peer support, which is already part of this environment and could be very valuable. Between members of the group there are several events being held throughout the year. These range from free community events to paid for conferences. For example, Jisc is looking at running two to three community events each year. They recently trialled a webinar format to see if it is an opportunity to get online discussions going.
The group discussed whether we need more events, and what is the best way of supporting each other and what kind of remote methods could be used. There is a need to try and document this activity systematically.
Professional Development option 4 – Courses we can run now
The group agreed that while it might be too early for us to look at presenting courses, it would be useful to have an idea of who is offering what amongst the member organisations of the group and that we can start to glean a picture of what is covered. If we were to then map this to the competencies it helps decision making.
For example, UKSG have webinars on every month that are free which fulfils a need. Is there a topic we can put on for an hour?
UKSG is planning a course towards the end of next year – a paid seminar face to face, outlining the publication process, particularly from the open access environment. This could be useful to publishers as well. It explains what needs to happen in a sequence of events – why it is important to track submission and acceptance dates. Pitching it to people who are new in the role and at senior managers who are responsible for staffing.
Professional Development option 5 – Private providers
Given the pull on resources for many in this sector we need to consider promoting and creating accessible training for all. So in that context the discussion moved to whether we were prepared to promote private training providers. This is a tricky area because there is such a range under the banner ‘private’ – from freelance trainers, to organisations who train as their primary activity to organisations who offer training as part of their wider suite of activities. Any training provision needs to look at sustainability, it isn’t always possible to rely on the goodwill of volunteers to deliver staff development and training.
For example, UKSG as an organisation is not profit-making — it is a charity and events are run on a non-profit basis. Jisc is looking at revenue on a non-profit basis to feed into Jisc’s support for the sector. ARMA work on a cost recovery basis – ARMA events are always restricted to members. Many of the member groups engage with private providers and pay them to come along and speak for the day.
We agreed that when we look at developing the competencies framework and identify how someone can achieve these skills we should be linking to all training provision, either through a paid course, online webinar or mentoring. The group agreed we are not excluding private providers from the discussion. We are looking to get the best provision for the sector.
However, the topic came up about our own expertise. Experts working in the field already give talks at many events on work time, which is being paid for by their employer — who are in effect subsidising the cost of running the training or event. Can we use our own knowledge base to share this information amongst the community? Perhaps it is not about what you pay, it is what you provide into the community.
Opening up the discussion
The group talked about tapping into existing conferences held by member organisations of the group to specifically look at this issue ‘branded’ under the umbrella of the group. To ensure inclusion it would be good to have a webinar as part of the discussion at each of these conference so people who are not there can attend and contribute. Identified conferences were:

Growing up, a diet of B-grade movies gave the impression of American summer camps as places where teenagers undertake a series of slapstick events in the wilderness. That may indeed be the case sometimes, but at the University of California San Diego campus recently, a group of decidedly older people bunked in together for a completely different type of summer camp.
The inaugural FORCE11 Scholarly Communications Institute (FSCI) was held in the first week of August, bringing together librarians, researchers and administrators from around the world. The event was planned as a week long intensive summer school on improving research communication. The activities were spread all over the campus, although not, unfortunately in the mother of all spaceships for a library.
We had a wonderful group of people, primarily from the library sector, and from around the world (although many were working in American universities).
From the delivery perspective this was an intense experience requiring 14 hours of delivery plus the documentation and follow up each day. It was further complicated by the fact that Sarah and I met for first time in person half an hour before delivery on the Monday.
Working within open and F.A.I.R principles, we have made all of our resources and information available and links to all the Google documents are included in this blog post.The shared Google Drive has links to everything. These presentations will be uploaded to the FSCI Zenodo site when it is available. In addition the group created a Zotero page which collects together relevant links and resources as they arose in discussion.
Monday – Problem definition
Using an established process the group worked together to define the problems we were looking to address in scholarly communication:
OA takes time and money – and the tools are annoying.
We need to reduce complexity – make it easy administratively
It is important to recognise difference – one size does not fit all, there are cultural and country norms in publishing and prestige
Motivation – what are the incentives? How can we demonstrate benefit?
There is a need for advocacy and training of various stakeholders including within library
We can demonstrate the repository as a free way of publishing with impact tracking – for both the author and the institution.

On the second day we discussed the different stakeholders in institutions and external to institutions in this space. Each table created a pile of post it notes which were then classified on a large grid on the wall against ‘interest’ versus ‘influence’. We then discussed which stakeholders we needed to work with, and whether it is possible to move the stakeholder from one of the quadrants into another. We also discussed the value in using some stakeholders to reach others.
A second exercise we ran was ‘responding to objections’ – where we gave the group a few minutes to create objections that different stakeholders may have to aspects of scholarly communication. These were then randomised and the group had only a couple of minutes to develop an ‘elevator pitch’ to respond to that objection. The slides from day 2 incorporate the comments, objections and counter arguments.
Wednesday – Communication
We started the day with a ‘gathering evidence’ exercise that consisted of a series of questions that were allocated to each table to discuss with a view to the kind of information held in an institution that might be helpful to answer it. Examples of the type of questions we asked the group to consider are: How do we better understand and communicate with the range of disciplines on campus? (with a goal of creating advocacy materials that support the range of disciplinary needs of the institution) or Who is doing collaborative research with others on campus and with others outside of the university? Is there interdisciplinary research? (with a goal of creating a map of collaborations on campus).
We moved to an exercise to demonstrate the need for clear communication. People worked in pairs and had a pile of building bricks which they were asked to build a shape from. They then had five minutes to describe their shape. After this the instructions were swapped and the opposite pair tried to reproduce the shape from the instructions.The results were surprising – with fewer than 50% of shapes reproduced. However, looking at some of the instructions, things became clearer. Note the description ‘cute kitty’ in these instructions.
The final session on day three was a risk assessment exercise where we put up the proposal ‘that we will make all digitised older theses open access without obtaining permission from the authors’. The tables were asked to come up with potential risks that could arise from this proposal, and then asked to map these onto a grid that considered the likelihood and severity of each risk.
Then the group discussed what could be done to mitigate the risks they identified, and then determine if the risk could then be moved within the grid. Again, all discussions are captured in the slides.
Thursday – Governance
On the Thursday we considered matters of governance. Dominic Tate from Edinburgh talked the group through the management structure at his institution, and how they have managed to create a strong decision making governance.
Using a system of mapping organisational structure to the decision structure, the group identified a goal they would like to achieve at their workplace and then to consider the aspects that are Strategic, Tactical and Operational. They then identified the person/people/group that will need to agree at each of these stages to achieve the end goal,and whether this was something that could be managed within the immediate organisation or does it involve the wider institution. We also discussed whether policies would need to be changed or created, and the level of consultation needed. The slides describe the process.
At the end of this day we broke into two groups for an unconference. One group discussed the UK Scholarly Communication Licence, the other continued on the governance discussion by identifying stakeholders and working out how to approach them.
Friday – The future
On the last day we discussed the best way to share stories with the relevant stakeholders – what is the best way to present the information? How do you get it to the person?
We then looked to the future, first by considering big disruptor technologies on the last 20 years. We asked people to share their work experiences before these technologies existed, to give us an idea of how much things will potentially change into the future with the next big disruptors. We then asked individuals to identify future issues that they will need to address at their institution, which they then sorted at the table level before we did a group consolidation to identify what the issues will be.
Each group chose one of these issues/futures, and in a mini overview of the work we had done throughout the week, they undertook a stakeholder assessment – who would they have to engage to make this happen? They also identified the governance structures in place, and the type of information they would want in place to make decisions about moving in this area. Sone of the discussions are captured in the slides.
Assessment of the course
When developing the course we articulated what we hoped the participants would get out of the week. These included the ability to:
Think strategically and comprehensively about openness and their institution
Articulate the ‘why’ of openness for a variety of stakeholders within an institution
Articulate how information related to research and outputs flows through an institution and understand challenges to this flow of information
Understand the practicalities of delivering open access to research outputs and research data management within an institution
Consider the technology, expertise, and resources required to support open research
So how did we do? Well according to the feedback at the beginning and end of the week we certainly hit all the targets the participants identified.

Interestingly, the Governance session was the least popular session we ran, but it rated extremely highly in the areas the participants self identified as learning about.
Several people went out of their way to tell Sarah and I that ‘this was the best training/workshop I have ever done’ which is very high praise.
On the Friday afternoon all of the participants for FSCI got back together to provide feedback about what happened in their courses. These ranged from an explanation of what people did, to participants describing what they knew, to poems. There was no expressionist dance unfortunately (perhaps next year). Sarah and I chose to describe our week in pictures.
Wrap of the week
While it was slightly disorienting spending a week in student accommodation, overall this was a valuable and rewarding experience – if extremely intense. Our group of just over 120 people was only one of several ‘camps’ happening at the same time, including electronic music and programming groups. We all converged on the dining hall each meal, a big hodge podge of people.
The largest and most intrusive group was the teenagers at the San Diego District Police camp. This is a para military organisation, we discovered. This did go some way to explain the line ups at 6am and also at 9pm, the groups shouting their responses in unison, and the instructors wandering around with guns on their hips.
On a much more peaceful note, San Diego is where Dr Seuss lived, and looking at the vegetation and landscape it is easy to see where his inspiration originated.

In June 2017 a group of people (see end for attendees) met in London to discuss the issues around scholarly communication training delivery in the UK. Representatives from RLUK, UKSG, SCONUL, UKCoRR, Vitae, Jisc and some universities had a workshop to nut through the problem. Possibly because of the nature of the attendees of the group, the discussion was very library-centric, but this does not preclude the need for training outside the library sector. This blog is a summary of the discussion from that day.
Background
The decision to hold a meeting like this came out of the a library skills workshop run at UKSG recently. In ensuing discussions, it was agreed that it would be a good idea to get stakeholders together for a symposium of some description to try and nut out how we could collaborate and provide training solutions for scholarly communication across the sector. There is plenty of space in this area for multiple offerings but we do want to make sure we are covering the range of areas and the types of delivery modes and levels required. In preparation for the discussion the group created a document listing scholarly communication training on offer currently.
What is scholarly communication?
An informal survey of research libraries in the UK earlier this year showed that while all respondents had some kind of service that supports aspects of scholarly communication, only half actually used the term ‘scholarly communication’ to describe those services.
A discussion around the table concluded that the term scholarly communication encompasses a wide range of definitions. Some libraries take the boundary that it refers to post-publication. Others address the pre-publication aspect and meet the need of Early Career Researchers for advice on publishing. Services can focus on the academic’s profile of themselves and their research, or the research lifecycle. In some cases there is a question about whether research data management is part of the equation.
The failure of library schools to deliver
It is fairly universally acknowledged that it is a challenge to engage with library schools on the issue of scholarly communication, despite repositories being a staple part of research library infrastructure for well over a decade. There are a few exceptions but generally open access or other aspects of scholarly communication are completely absent from the curricula. (Note: any library school that wishes to challenge this statement, or provide information about upcoming plans are welcome to send these through to info@osc.cam.ac.uk)
This raises the question – if library schools are not providing, how do we recruit and train the staff we need? Indeed, who are we actually recruiting? Is it essential for staff to have a library degree, or experience in an academic library? Or are our requirements more functional such as the ability to manipulate large data sets, or experience working with academics, or an understanding of the Higher Education environment?
While libraries are starting to employ post-graduate researchers because they can lend skills to the library, library culture is a consideration. Employing researchers who are not librarians has the benefit of bringing in expertise from outside, but there are challenges to integrate their work into the library culture. We need to look at competencies in terms of the structure and size of the organisation, both for current staff and staff of the future.
In the absence of scholarly communication instruction within the basic qualification, skills training in this space would appear to need to be addressed at the profession level.
One possible route to prepare the next generation is offering some modular approach of on the job learning with very practical experience. An option could be to work with people who have come from outside the library space. Given libraries seem to be starting to bring skill sets in, we need to consider how this sits with the existing profession.
Audiences and their training needs
The goal of the meeting was to resolve what kinds of training the sector needs, for whom and how it is delivered. For example, with many general library staff there is a basic need to understand the issues with scholarly communication. The number one question is ‘what is scholarly communication’? The possibly it is enough for these people to just be familiar with the terminology.
It is possible we need lots of short courses on the general topic of: this is what OA is, basics of RDM etc (that could potentially be delivered online), but probably fewer more complex courses on issues like analysing publisher and funder policies. There are also debates and higher order areas which require face to face debate.

Considerations – Lack of perceived need?
There appears to be a problem with a lack of perceived need for training in this space. We are encountering issues where people in libraries are saying ‘I don’t think this is our job’. This points to what should we be presenting librarianship as – what kind of people do we want in the profession? A ‘traditional librarian’ of 20 years ago is not the same job now, the skills are different. Today much of an academic librarian’s job is about winning over people who don’t want to hear the message. It is possible there does need to be a different sort of person who is pushing an open access agenda.
There have been other innovations in library work that required engaging different behaviours and tasks in the past. For example, is this move towards a scholarly communication future different from when the discovery search was introduced? The eResources experience is similar in terms of new competencies required in the profession. However the difference in the scholarly communication environment is there is an external driver – we need to understand the politics of how open access can move forward in the UK.
Considerations – budgets
There is a mismatch between what people would love to have, what can be designed and what people can afford. Anecdotally the group heard that training budgets are really squeezed so priority and focus might be heavily influenced by this, with geography and travelling costs being central to decisions.
The group discussed the need to make training accessible to all. Even free events can be prohibitive in terms of travel, and hosting them in off-peak periods can be helpful with costs. The blockage is not just money, it includes time – in terms of loss of a team member while they are away. This is particularly problematic if scholarly communication is only a part of their job. Most of the need comes from really small institutions where the work is part of a bigger role, however that is where there is little money. This also raises challenges for the time available for those people to self educate.
UKSG run events in London which is expensive for organisations north of London to attend. To increase participation UKSG are now trying to put regional events on, and have shifted their training to a webinar programme rather than face to face.
SCONUL has done basic copyright training and this has thrown up price sensitivity. One solution is trying to keep it local, and members can volunteer staff in kind.
One option could be online training where participants log on at a certain time once a week for 10 weeks. Many of the people in scholarly communication work in universities, and have distance education software available to them. An alternative is having courses done in house – that could part of a modular package (but how do you link this?). The course content needs to be agnostic enough to be useful (not discussing DSpace or PURE for example) before delving into institutional specifics. Make it modular with core principles and then have options.
There was a suggestion that we create a nonprofit making shared collaborative service. The costs to developing this type of deliverable include the development of the training materials, infrastructure costs, room hire, catering etc. Can we make it all online and available? This could work if it were modular.
Next steps
We have not yet bottomed out the need yet – perception of needs at the practitioner level and senior management might be different. Cost is an issue here. Universities need to work out how much it costs to do in-house training – what is the opportunity cost to employ a staff member without experience or training and then get them up to speed?
It would be useful to have an understanding of what training is happening within institutions. What subjects/topics are being taught, who is doing it, what language is being used, is there a dedicated staff member. Where else do people get information and support?
The general plan is to reconvene in September.

Organisations are running similar events and then participants have to choose what to focus on. If we divvy it up across the sector it might help the situation.
The Society for College, National and University Libraries (SCONUL) does basic copyright training. There is more focus on the leadership end of the equation. The Collaboration Strategy Group is considering a shared service. People come from non traditional groups and this reflects a broader skills sets required in libraries than traditional library courses give you. SCONUL are about to scope out where those services might be and try to identify needs into the future. There are challenges are in recruiting people given the slightly moralistic nature of library culture and whether they are welcoming of people from different background. How do we promote, retain and incentivise people who may not come from this area?
Research Libraries UK (RLUK) don’t do direct training, but they do have programmes of works and networks around these issues. The RLUK board recently had a meeting to look at a new strategy – updating the existing 2014-2017 RLUK Strategy. They are looking at the bigger picture for scholarly communication – the infrastructure challenges, the bigger picture related to licensing and costs and how to leverage members in the consortia. Their role is very much supporting and helping out.
UK Serials Group (UKSG) runs a conference programme. One day events are a mix of standing repeated courses and one off sessions. In conferences often the breakout sessions are the things that people find really valuable. These include soft skills like mindfulness in leadership. The audience tends to be practitioners, people in their mid-career. Traditional areas such as library have been focused around collection management because that is where publishers are. But it is not just about traditional publishing. They are our members and that is moving our agenda to meet those needs. UKSG cannot get anywhere in contributing to university publishing courses. Libraries are starting to employ people who have publishing backgrounds.
The Association of Research Managers and Administrators (ARMA) has special interest groups in open access. (Note: ARMA were invited to this meeting but unfortunately couldn’t attend.)
The Chartered Institute for Library and Information Professionals (CILIP) conducts training at a local level. It was agreed we can’t have the conversation without having CILIP in the room – they are wanting to offer more support for academic libraries and seem to be recognising that the library schools program for CILIP is not the be-all and end-all any more. This is partly why they have developed a recognised trainer programme. (Note: CILIP were invited to this meeting but unfortunately couldn’t attend.)

Dr Ben Steventon is one of the participants in the Open Research Pilot. He is working with the Office of Scholarly Communication to make his research process more open and here reports on some of the major challenges he perceives at the beginning of the project.
The Steventon Group is a new group established last year which looks at embryonic development, in particular focusing on the zebrafish. To investigate problems in this area the group uses time-lapse imaging and tracks cells in 3D visualisations which presents many challenges when it comes to data sharing, which they hope to address through theWellcome Trust Open Research Project. Whilst the difficulties that this group are facing are specific to a particular type of research, they highlight some common challenges across open research: sharing large files, dealing with proprietary software and joining up the different outputs of a group.
Sharing imaging data
The data created by time-lapse imaging and cell tracking is frequently on a scale that presents a technical, as well as financial, challenge. The raw data consists of several terabytes of film which is then compressed for analysis into 500GB files. These compressed files are of a high enough quality that they can be used for analysis but they are still not small enough that they can be easily shared. In addition the group also generates spreadsheets of tracking data, which can be easily shared but are meaningless without the original imaging files and specific software to allow the two pieces of data to be connected. One solution which we are considering is the Image Data Resource, which is working to make imaging datasets in the life sciences, which have not previously been shareable due to their size, available to the scientific community to re-use.
Making it usable
The software used in this type of research is a major barrier to making the group’s work reproducible. The Imaris software the group uses costs thousands of pounds so anything shared in their proprietary formats are only accessible to an extremely small group of researchers at wealthier institutions, which is in direct opposition to the principles of Open Research. It is possible to use Fiji, an open source alternative, to recreate tracking with the imaging files and tracking spreadsheets; however, the data annotation originally performed in Imaris will be lost when the images are not saved in the proprietary formats.
An additional problem in such analyses is the sharing of protocols that detail the methodologies applied, from the preparation of the samples all the way through data generation and analysis. This is a common problem with standard peer-review journals that are often limited in the space available for the description of methods. The group are exploring new ways to communicate their research protocols and have created an article for the Journal of Visualised Experiments, but these are time consuming to create and so are not always possible. Open peer-review platforms potentially offer a solution to sharing detailed protocols in a more rapid manner, as do specialist platforms such as Wellcome Open Research and Protocols.io.
Increasing efficiency by increasing openness
Whilst the file size and proprietary software in this type of research presents some barriers to sharing, there are also opportunities through sharing to improve practice across the community. Currently there are several different software packages being used for visualisation and tracking. Therefore, sharing more imaging data would allow groups to try out different types of images on different tools and make better purchasing decisions with their grant money. Furthermore, there is a great frustration in this area that lots of people are working on different algorithms for different datasets, so greater sharing of these algorithms could reduce the amount of time wasted creating algorithms when it might be possible to adapt a pre-existing one.
Shifting models of scholarly communication
As we move towards a model of greater openness, research groups are facing a new difficulty in working out how best to present their myriad outputs. The Steventon group intends to publish data (in some form), protocols and a preprint at the same time as submitting their papers to a traditional journal. This will make their work more reproducible, and it also allows researchers who are interested in different aspects of their work to access the bits that interest them. These outputs will link to one another, through citations, but this relies on close reading of the different outputs and checking references. The Steventon group would like to make the links between the different aspects of their work more obvious and browsable, so the context is clear to anyone interest in the lab’s work. As the research of the group is so visual it would be appropriate to represent the different aspects of their work in a more appealing form than a list of links. The Steventon lab is attempting to link and contextualise their work through their website, and it is possible to cross-reference resources in many repositories (including Cambridge’s Apollo), but they would like there to be a more sustainable solution. They work in areas with crossovers to other disciplines – some people may be interested in their methodologies, others the particular species they work on, and others still the particular developmental processes they are researching. There are opportunities here for openness to increase the discoverability of interdisciplinary research and we will be exploring this, as well as the issues around sharing images and proprietary software, as part of the Open Research Pilot.
